What Is UKG and Why Does Your Resume Format Matter?

UKG's ATS handles resumes differently than Workday, Greenhouse, or Lever. Understanding those differences helps you format your resume so that your information parses correctly and presents well when a recruiter reviews your profile in the system.

How UKG Pro Recruiting Processes Your Resume

When you upload your resume to a UKG-powered career portal, the system:

  1. Parses the document into structured fields. Your name, email, phone, work history, education, and skills are extracted and mapped to the candidate profile.
  2. Stores the original document. Recruiters can view both the parsed data and your original resume file.
  3. Allows recruiters to search and filter. Keywords from your parsed resume are searchable. If a recruiter searches for "project management" and it's in your resume, you'll appear in results.
  4. Generates a candidate snapshot. UKG creates a summary view of your parsed information that recruiters see first, before (or instead of) opening your full resume.

The quality of this parsing directly affects how your application looks to recruiters. A well-formatted resume parses cleanly. UKG-Specific Formatting Guidelines

File Format

  • .docx is the safest choice. UKG's parser handles Word documents most reliably.
  • PDF works but with caveats. Simple, text-based PDFs parse well. Image-based PDFs (scanned documents) will not parse at all. PDFs with complex layouts may parse out of order.
  • .txt works for parsing but loses formatting. Only use plain text if the application system specifically asks for it.
  • Avoid .rtf, .pages, and .odt. UKG may not support these formats, resulting in upload errors or failed parsing.

Layout and Structure

  • Single column layout. UKG's parser reads top-to-bottom, left-to-right. Two-column layouts may cause content from the right column to be appended after the left column, creating jumbled work history.
  • Standard section headers. Use "Experience" or "Work Experience," "Education," "Skills." UKG recognizes standard headers and maps content accordingly. Avoid creative headers like "Where I've Made Impact."
  • Consistent date formatting. UKG parses dates in MM/YYYY or Month YYYY format. Be consistent throughout your resume. Mixed formats (Jan 2024 in one place, 01/2024 in another) can confuse the parser.
  • Company name and job title on separate lines. UKG parses job title and company more accurately when they're clearly separated, preferably with the job title on one line and the company on the next (or vice versa).

What to Avoid

  • Tables. UKG's parser handles tables poorly. Skills organized in a table may parse as a single long string with no separation.
  • Text boxes. Content in text boxes may be skipped entirely or parsed out of sequence.
  • Headers and footers. Content in Word document headers/footers (the page header area, not section headers) is often missed by the parser. Keep your name and contact info in the main document body.
  • Images, logos, and graphics. These are ignored by the parser and can create blank spaces in the parsed output.
  • Columns created with tab stops. Tab-based columns may parse as a single line of text with inconsistent spacing.

Optimizing for UKG's Keyword Search

UKG Pro Recruiting includes a keyword search function that recruiters use to find candidates in their pipeline. When a recruiter searches for "Salesforce" or "supply chain management," UKG searches through parsed resume data. To appear in these searches:

  • Use exact keyword matches from the job description. If the posting says "supply chain management," use that exact phrase, not "logistics optimization."
  • Include keywords in multiple locations. Your skills section, experience bullets, and summary should all contain relevant keywords. UKG's search doesn't weight one section over another -- it searches everything.
  • Don't keyword-stuff. Repeating "project management" 15 times doesn't help and makes your resume unreadable when a human reviews it.
  • Use both acronyms and full terms. Write "PMP (Project Management Professional)" so you match searches for both "PMP" and "Project Management Professional."

The UKG Application Experience

Knowing what the UKG application process looks like helps you prepare:

  1. Job listing page. You'll see the posting on the company's career site, powered by UKG.
  2. Account creation. UKG requires you to create a candidate account. Save your login -- you'll need it to check application status later.
  3. Resume upload. Upload your resume file. UKG may also offer "Apply with LinkedIn" or "Apply with Indeed," which imports data from those profiles.
  4. Parsed field review. After uploading, UKG shows you the parsed data and lets you edit it. This is your chance to fix any parsing errors. Take the time to review each field.
  5. Supplemental questions. Many UKG-powered applications include screening questions. Answer every one -- incomplete applications may be automatically disqualified.
  6. Confirmation. You'll receive a confirmation email. The application status is usually trackable through your candidate portal.

Common UKG Parsing Issues and Fixes

Issue: Job titles and companies are merged

Cause: Job title and company on the same line without clear formatting distinction.
Fix: Put your job title on one line (bold) and the company name on the next line. Include dates on the company line.

Issue: Skills section parses as one long paragraph

Cause: Skills separated by commas in a continuous paragraph, or organized in a table.
Fix: List skills with clear separators. Comma-separated is fine if on a single line. For longer skill lists, use bullet points or pipe separators (|).

Issue: Education degree and school are swapped

Cause: Inconsistent formatting. Some parsers expect the degree first, others expect the school first.
Fix: Use a clear format: "Bachelor of Science in Computer Science" on one line, "University of Texas at Austin" on the next, graduation date on the same line as the school.

Issue: Contact information is missing from parsed profile

Cause: Contact information placed in the Word document header/footer area or inside a text box.
Fix: Put all contact information in the main document body, at the very top of the page.

UKG vs. Other Major ATS Platforms

How UKG compares to platforms you may have encountered:

  • vs. iCIMS: Similar parsing capabilities. iCIMS has a slightly more modern candidate experience, but resume formatting guidelines are nearly identical.
